If for some reason your team members still make bookings outside of TruTrip, you can add them into your bookings and transactions reports for insights or analysis.
How it works
Whenever you have external bookings that you would like to add to your account you can simply reach out to your account manager or support team.
- Send the booking details (traveller name, booking title, cost, booking voucher, invoices etc to our support team)
- Our support team will process the external bookings into your account
- Once it's added we'll let you know and you can view the external bookings in your account.
Viewing external bookings in your company account
On the trips page:
For bookers and travellers, any booking added by our support team will show up on their trips page with a different colour and an icon to clarify it's an external booking. If there are booking voucher and invoices attached, they can be downloaded too.
On the booking reports page
Whenever admins go the bookings report page (https://app.trutrip.co/booking/dashboard) the external bookings will be calculated and displayed in the statistics.
If you want to exclude the externally paid bookings from the reports you can use the filters at the top.
On the transactions reports page:
In the transactions report (https://app.trutrip.co/transaction-report) you will find any external bookings too. Of course these bookings have not been paid to TruTrip, but we will still capture the expense. The purple colour and icon indicates that they were made and paid somewhere else.
In the csv files:
Whenever you download the bookings report CSV file or the transactions report CSV file, you'll be able to find the external bookings in the payment method column like displayed below:
