Every payment account in TruTrip, whether it's a deposit account or a credit account, can have a low balance threshold. When the account balance crosses this threshold, TruTrip automatically sends an email alert to whichever recipient you choose. This helps make sure your team never gets caught off guard by a depleted account.
Why the balance might already look "low"
If you're seeing a low balance warning even though there's still credit or deposit available, it's usually because a threshold was set by default (or set previously by an admin) and hasn't been adjusted for your current needs. This is easy to fix, you can update it yourself in a couple of clicks.
How to set it up
- Go to Payment Methods.
- Select the payment account you want to configure.
- Click Edit account details.
- Set your desired low balance threshold and the email recipient(s) who should be notified.
- Save your changes.
Once saved, TruTrip will automatically email the chosen recipient(s) whenever the account balance drops below (or, for credit accounts, exceeds) the threshold you've set.
Setting thresholds for credit accounts
Credit accounts work a little differently from deposit accounts, because their balance can go negative as credit is drawn down. For this reason, credit account thresholds are entered as a negative number.
For example, if your credit account has a maximum limit of 50,000, and you want to be notified once you've used 80% of that credit (i.e. only 10,000 remaining), you would set your low balance threshold to -40,000.

Tip: For credit accounts, think of the threshold as "how much credit can I afford to have left before I need a heads-up," then subtract that from your max limit and enter it as a negative number.
