Once you've invited your team members they can either update their user profile themselves, or you can do this for them.
You can check the status of their profile by hovering on the status icons, this will explain the core items that the traveller need before they can start making bookings. These items are:
- Account verification status or Last login
- Travel document status, this means that the traveller have passport or ID card added tot heir account.
- Travel policy assignment, this item checks if the traveller have a policy assigned to them, you click on the "policy" link to go to the policy page and manage the assignment.
- Payment method availability, this item checks if the traveller have payment method (deposit account or credit card) available to them.
If you want to make adjustments to your team member's profiles, navigate to Manage -> Users & Groups -> Click on the user name to view and edit their profile.
Updating basic information
When you click on the pencil icon, you can change the users'
- First name / last name
- User group
- Role
Note that you can make changes to their e-mail address only if their account is not verified yet
Additional note, you can promote your users from traveller to manager, or to super-admin from this page as well. However, if you want to demote a manager to a traveller, please make sure all approval request has been handled.
Adding passport details
Managers or admins can update, or add all travel document information for traveller, which includes Passport, ID card, and Visa. Whenever your travellers book a flight or hotel, these passport or ID card details will automatically be shared with the airline or hotel for the reservation.
Viewing applied policy
You can also view policy applied to the user you are viewing. You will be able to see the summary of restrictions or limitations applied to the user.
Deactivating users
If your team members will stop using TruTrip, you can do this by clicking on the 3 dots on the top right of their profile. You can read more about deactivating users in this article.
