If you need a bit more advanced reporting with detailed cost analysis or project allocation, you can use the labels feature.
1. How it works
Labels can only be set up by super-admins. Typically they can be used as “tags”, but a great way to utilise them is for project management, budget allocation, or client tracking. A booking can have multiple labels attached to it.
Once labels have been set up in the system, your travellers (and bookers) can add labels to a booking. This can be done when making (or requesting) the booking, or after the booking has been made.
2. Creating and deleting labels
Labels are quite easy to use and set up:
- Go to Manage -> Company Settings -> Labels
- Create the labels that you would like your team members to use when making a booking
- Save. The label can now be used by anyone in the company when creating a booking or adding a label to an existing one.
Keep in mind that labels can only be deleted if they have not been used (added to a booking) yet.
3. Adding labels to bookings
Labels can be added to bookings during the booking check-out, request (for approval), upon approval, or even after the booking has been made (trips page):
- When confirming a booking or requesting a booking (for approval),
- When approving a booking (when managers and super-admins review bookings from the approvals page)
- When viewing a booking (from the trips page)
4. Generating reports with labels
Whenever bookings have labels attached to them, you can find them on the bookings report page (manage -> reports -> booking report). In the labels column you’ll find any label added to the booking, or you can use the filter on the top bar to filter out specific labels.
When exporting your bookings to a CSV file, you’ll find the related labels in a separate column. Great if you want to use labels for different projects, cost allocation or budget management!
5. "Forcing" labels for all bookings in your company
Labels can be forced for all users in the company if needed. Reach out to the support team if you need this to be activated. Once labels are forced, labels will always be required when making a booking:
