When your approval workflow is enabled, only super-admins or ( travel ) managers will be able to approve bookings whenever bookers requests a trip for approval.
If you're a manager or admins that needs to approve a booking, you will receive an email that looks similar to the one below. From there you can click on the link to go to the approvals apge.
1. Understanding the approvals overview page
To approve bookings from the web app, you can login to your account and click on Approvals . You'll be automatically directed to the Pending approvals section.
On the overview you'll be able to:
- View all previous bookings
- Immediately check the status for the latest bookings
- Look at the booking in more detail
2. Reviewing bookings
When clicking on a booking, you'll be able to view the detail page with all travel information, costs and any other booking related information. On this page you will be able to review:
- The price, fare, and add-ons requested for this booking
- Who requested the booking and who is travelling
- Who are allowed to approve this booking (if there are multiple approvers)
- The payment method used (you can also change it if necessary)
3. Approving bookings
If all the booking details look correct, you will be able to approve the booking in the top right corner by hitting the big "Approve button".
Step 1 - Reviewing payment details:
You will be guided to the booking confirmation and details page. Please check the actual price you are about to pay for this booking and the payment method used.
Step 2 - Confirm payment & approve the booking:
Hit "confirm". The payment will be processed and the booking will be created. A notification will be sent to the booker and traveller(s), explaining that their booking has been approved and is being processed.
Step 3 - Ticket processing and issuance
Typically it takes a few hours for a flight or hotel booking to be fully processed. Once ready all booking confirmations are ready they will be sent to all the travellers .
3. Rejecting bookings
If you don't agree with a specific booking, you can simply hit the "Reject" button and write a comment as to why you are rejecting this booking.
Whenever a booking is rejected, an email notification is sent to the booker & travellers, explaining why you rejected it. Keep in mind that they will have to make a new booking.
