Once you've set up your company's basic information, policies, and payment methods, it's time to add your team members so they can book their own travel.
You have two options for adding users to your company: you can invite them (they will receive an email invitation to set up their own account), or you can create their accounts directly without an invitation.
We recommend inviting users so they can onboard themselves, add their passport details, etc. However, if you have travellers who need to be managed (bookings made for them), you can add them without granting access.
Inviting Users from the Web App
- Go to the user management page and click "Add New User."
- Enter your traveller’s first name, last name, email address, and role (usually "Traveller"). If you know which group they should be a part of, you can assign them to the group at this time.
- Click "Invite User" and you're done! Invitation emails will be immediately sent to all users you invite, so ensure that you've entered the correct email addresses.
Adding Users Without Inviting Them
If you need to add users without inviting them yet, simply uncheck the "Send Invitation Email" option.
Remember, when a user is not invited, they are considered a managed traveller, and:
- The traveller will not receive an email invitation.
- The traveller will not have access to the platform, even if they try to reset their password.
- The traveller will receive booking-related emails (booking confirmation, check-in reminders).
- The traveller can be upgraded to a regular traveller later and gain full access to TruTrip.
Managed travellers are ideal for companies with dedicated travel managers who book flights and hotels on behalf of employees, ensuring employees only receive booking confirmation emails.

Importing Users via CSV
If you have a large number of users to import, use the CSV feature.
- Download the CSV template file and save it in the correct CSV format.
- On the user management page, upload the file and click "Upload File."
That's it! All users will receive an invitation email to log in to TruTrip.
